Vendor and Trade-Stand Information Pack.  Updated 19 July 2017

We have limited space and try to have only ONE Vendor of any particular product.

All documents should be emailed back in pdf format (a single file for each form).  

There are many Mobile Phone Apps that enable you to do this. eg: Turbo Scan

Site Fees

 Large Site 12 m X 10 m  and 4 Staff Passes for the Weekend - $400

Small Site 12 m X 5 m     and  2 Staff Passes for the Weekend - $250

Additional Weekend or Day Passes can be purchased at the time of entry

8.00 am Sunday

 Vendors and Trade stand Holders who need to set up on Friday 6th of March are advised only limited security is available overnight on Friday 11th of March.

Spectators Entry time

9.00 am Saturday &  Sunday 

On Arrival

You will be Issued with Wristbands to be worn at all times at the Event and directed to the set up area.

Payment

Payment must be made prior to the Event.
Vendors will be issued with an Invoice Including GST prior to the event.

Safety - Risk Assessment

Lardner Park Management requires all Stall Holders to complete a Risk Assessment of their Trades Stand or Stall to show they have identified and controlled Safety Hazards associated with their site.
 A copy of this form is available on the Motorfest website in either Word or pdf format
(see links below).

Notice to Vendors and Trade Stand Holders:

 

  1. Vendors/Trade stands and Sponsors Signs are to be setup up on the day of the event (Saturday) between 7 am and 10am. Subject to change.
  2. Vendors/Trade stands and Sponsors Signs are to be taken down on Sunday, no earlier than 4 pm. Subject to change.
  3. Limited Powered sites are  available. Complete the Section on the Sign Up Form if Power is required at your site.
  4. All electrical equipment and portable power systems to be used must have been tested and tagged and MUST bear current tags. This is includes all power leads that you need to provide.
  5. Any damage done to LARDNER PARK Property arising from the negligence of the Vendor or Sponsor will be billed to the Vendor or Sponsor.
  6. No Refund will be issued for cancellation.
  7. Tax Invoices will be issued INCLUDING GST.
  8. Vehicles are not permitted to leave the Trade Stand/Vendor area on Saturday between
    9 am and 8 pm and again on Sunday  between 9am and 5pm.

Vendors Please Note:
Due to contractual arrangements with the Venue, the Promoter, the Suppliers and Sponsors of products for this event, there may be restrictions on what products can be sold by vendors. This may include, certain brands of Soft Drinks, Energy Drinks, Flavoured Milk. This will be detailed to all vendors 2 weeks prior to the 2017 Motorfest at Lardner Park.
The Drouin Rotary Club is the only vendor permitted to sell alcohol.

 

 

Notice to all Sellers of Food & Drink At Lardner Park Motorfest:

The Baw Baw Shire informed us ALL food Vendors at Motorfest MUST contact the Shire and notify the Shire that they will be selling food and Drink (Coffee) at an event in the Baw Baw Shire.

You do this by going on to following Website
